An automated recruitment flow for efficient vacancy and application processing


About our client
Processionals is the expert in recruiting, selecting, supervising and training technical personnel in the process industry. With offices in Amsterdam, Apeldoorn, Eindhoven and Rotterdam, they serve customers throughout the Netherlands. Their success lies in far-reaching specialization and a committed, relational approach. Processionals strives to support companies in growth and development by matching the right technical professionals with the needs of their customers.
The challenge
Processionals uses the Applicant Tracking System (ATS) Mysolution, developed on top of Salesforce, for their job postings and applicants. In addition, they use HubSpot for both marketing activities and the website. A key requirement was that the job postings from Mysolution be available in HubSpot so that they could be used for dynamic pages on the website. In addition, the applications for these vacancies had to be fed back to Mysolution.
Our approach
An automated job posting and application flow
To meet Processionals' needs, we developed an integration that periodically retrieves job postings from Mysolution and synchronizes them with HubSpot. This integration takes care of creating, updating or deleting vacancies in HubSpot depending on changes in Mysolution. Based on specific criteria, vacancies are also automatically published via external platforms to various job boards. In addition, a geolocation is determined via coordinates, so that vacancies on the Processionals website can be filtered by distance.

For the application process, the integration includes an automated process where, after submitting an application form, an applicant on the Processionals website is created in Mysolution. If present, the applicant's CV is also automatically added. This ensures that job applications are efficiently registered and managed in Mysolution, simplifying and speeding up the application process for Processionals.
The result
By integrating Mysolution with HubSpot, Processionals now has a streamlined and efficient recruitment workflow. The main results are as follows:

Automated job posting: Vacancies are now automatically synchronized between Mysolution and HubSpot, ensuring current and consistent posting on the website and external job boards such as the National Job Bank and Indeed.

Improved application processing: Applications via the website are processed and forwarded directly to Mysolution, including resume and relevant candidate data. This saves time and minimizes manual input.

Smart remote filtering: The addition of geolocation data allows jobs on the website to be easily filtered by distance, improving the search experience for candidates.

Better collaboration and oversight: The recruitment team now has greater control over the application process through real-time insights into job statuses, applications and publications. This leads to a more efficient and transparent process.
